None of them can answer whether you've got the capacity to say yes to a new brief, which moderator has space in week three, or what utilisation looks like next quarter. A spreadsheet technically can — until keeping it accurate becomes somebody's part-time job. Insight Planner puts allocation, visibility and reporting in one system that already speaks your team's language.
The typical journey from kickoff to go-live is four to six weeks. Because we build iteratively, you're using genuine working software within the first two weeks rather than waiting for a big reveal. Migration from your current spreadsheets and training for the whole team are part of the package, done before launch day.
Yes — and agencies regularly tell us it's the feature they lean on hardest. Each person gets their own availability profile: full-time, three days a week, Tuesdays only, or a block of contracted freelance hours. Capacity calculations pick all of it up automatically, so the number on screen is your genuine deliverable resource, not just permanent headcount.
It can. We build integrations against Pipedrive, HubSpot or whatever CRM you run, so the pipeline feeds straight into capacity planning. Plenty of agencies launch the planner standalone and bolt integrations on once the team has settled in; if you want them from day one, we scope that during discovery.
It depends on scope: how big the team is, how involved the workflows are, and whether integrations are needed. You'll hear real numbers in the very first conversation — no mystery pricing. In practice the planner tends to pay for itself quickly, because billable hours stop leaking into resourcing confusion and late-night report assembly. After a discovery call we'll put a firm quote in writing.
Quite the opposite, usually. Boutique teams of five to eight researchers are among the happiest users we have — at that scale a single double-booking or an idle fortnight hits the bottom line hard, and there's rarely an ops person watching for it. A small-team planner is also leaner and quicker to build. If discovery suggests it's genuinely not the right moment for you, we'll say so.
